Privacy Statement Festivak Belgium

(version 7 November 2023)

This is the privacy statement of Festivak Belgium, which exhibition is being organised by Organisatie Groep Zuid (O.G.Z.) B.V. of Ambachtweg 52 in (5731 AG) Mierlo, the Netherlands, which is registered in the business register maintained by the Chamber of Commerce under Number 17171744, and which is hereafter referred to as “OGZ”.

Why this privacy statement?

Festivak Netherlands is organized by OGZ. OGZ is a full-service and independent organization agency that has taken a significant position in the exhibition landscape in the Netherlands and abroad.

If you visit one of our exhibitions, participate in an exhibition as an exhibitor, visit the website out of interest or respond to social media expressions then we process certain personal data from you. We want to be transparent about the processing of your personal data. In this privacy statement we therefore explain which personal data we collect and use, why we do so and for what purpose. We recommend that you read this declaration carefully.

What personal data do we process?

Visitors

In exchange for sharing your data, you will be granted access to the fair. Once at the fair, you can get in touch with participating exhibitors and also get access to valuable content.
You share your details via a registration form via:

  • The website of the respective trade show;
  • Registration at the entrance of an exhibition;
  • An exhibitor invitation URL: when registering via an exhibitor invitation, you share your data with both this exhibitor and OGZ.

From visitors to a trade show, we process at least:

  • Name;
  • Company name/Organisation
  • Gender;
  • Address;
  • Telephone number (optional);
  • E-mail address.

In addition, we process your answers to any questions about, for example, company size, areas of interest or level of education to make a trade show relevant to you.

During our trade shows, you often have the opportunity to attend lectures.
To gain access to the relevant lectures, your access badge will be scanned. By scanning the access badge, you share your data with the speaker and/or with his/her affiliated organization.

By visiting the fair, you will come into contact with exhibitors (exhibitors). Possibly an exhibitor will ask for your data by, for example, scanning your badge. If you allow this, you will share said data with the exhibitor in question.

Exhibitors, Sponsors and other participants; hereinafter referred to as "participants".

From participants at an exhibition we process at least:

  • Company Name/Organization;
  • Name of contact person;
  • Gender;
  • Address;
  • Telephone numbers (fixed and/or mobile);
  • E-mail address;
  • Website;
  • Billing information.

If you contact us by phone, email, via social media, chat or other means, your data will be recorded.

Data from our website visitors.
OGZ uses cookies in offering its services. Cookies are small text files that are placed on your computer, tablet or cell phone through an OGZ website and are read when you use our websites. Below is an explanation of the different types of cookies that OGZ places.

Functional cookies
OGZ uses a number of functional cookies. These allow us to store data for you that improves your experience on the websites. The functional cookies that we place through our various websites, for example, aim to remember your preferences such as possibly the language you have chosen.

Analytical cookies
To be able to adapt our website to the needs and interests of visitors, we use measurement cookies, also called analytical cookies. This allows us to see which pages cause problems for visitors, which are popular, etcetera. This data is important for us to be able to continue to develop a pleasant website experience for you. We only use data that cannot be traced back to you as a person.

Social media cookies
Social media cookies make it possible to easily share a page via social media or to show social content about a topic (e.g. tweets). The social media for which cookies may be placed include Twitter, LinkedIn, Google+ and Facebook.

Advertisement cookies
Advertising cookies are used, for example, to:

Deleting and refusing cookies

Social media communications
The data that you enter yourself on social media or that we collect as a result of your reactions to social media expressions of one of our exhibitions are processed by OGZ. This may include personal data that you enter yourself on the contact page of the relevant platform, among others, such as your e-mail address, name, address, place of residence or a telephone number.

Applicants
If you apply for a job with OGZ or if you respond to a vacancy posted on one of our websites or otherwise, you may provide us with information about yourself, such as your CV.

Images
Photos and videos are taken at our trade shows for reporting and registration purposes of the trade show in question. You may therefore be captured in photographs or videos that are used by us after the exhibition.

For what purpose do we process your data?

Service
OGZ processes your personal data in order to provide our services to you. For example, to register for the exhibition for which you have applied or to which you are a participating exhibitor, to send tickets, to grant you access to the exhibition, to answer questions and complaints regarding the exhibition and to prepare, send and collect invoices to exhibitors.

Informing
In order to communicate with you by e-mail, post or telephone and to inform you, OGZ processes your personal data. You will receive (practical) information about the fair you have registered for or are participating in, such as participating exhibitors, lectures, start and end times, route and parking facilities.

We use your electronic contact information obtained from your registration or participation to inform you by e-mail about similar OGZ fairs. You can unsubscribe from these messages at any time via the unsubscribe instruction in each e-mail. In addition, we still use your address information to inform you by mail about our fairs.

To inform you about events of OGZ, other than fairs and congresses, or products and services of third parties, we will always ask your permission first. By the way, we never sell personal data of our visitors and exhibitors to third parties.

Profiling
To make your visit to an exhibition as relevant to you as possible, we use profiling. For example, you will be informed about speakers and exhibitors at a trade show that are of interest to you. You are entitled to object to profiling for direct marketing purposes at any time.

Analysis and (market) research
We may use your personal data to conduct research and analysis with the aim of improving OGZ's services. We may also ask you after an exhibition if you would like to participate in a non-binding market research or survey in order to improve our services. Participation in the survey is completely voluntary.

Contact with OGZ
If you contact us or we contact you by phone, email, via social media, chat or any other means, your data will be recorded. This allows OGZ staff to see later that you have been contacted before and about what. This allows us to help you faster and better. For example, questions about our services, payments, complaints or if you participate in market research.

Applicants
We process applicant data as part of a recruitment and selection procedure with the aim of selecting the right person from among the applicants received for a particular vacancy and providing feedback to each applicant.

Legal obligation
OGZ may be required by law or regulation to process your personal data and/or provide it to third parties. For example, when requested by a competent authority such as the police in the context of a criminal investigation.

May we process your data?

OGZ processes personal data based on your explicit consent, if this is necessary for the performance of an agreement, a legal obligation or a legitimate interest of OGZ to process your data for direct marketing purposes where you always have the possibility to unsubscribe.

How do we handle the security of your data?

OGZ provides appropriate technical and organizational security measures to protect personal data against, among other things, loss, destruction or damage, unauthorized access or any other form of unlawful processing of your personal data. Among other things, we do this by taking physical and organizational measures for access security, shielding each desktop with user name and password and authorization management so that your data cannot be viewed by all OGZ employees. This also includes keeping software up-to-date and regularly testing our security measures.

How long do we keep your data?

We retain your data to the extent necessary to fulfill the purposes for which we process your data and no longer than permitted by law. The final retention period varies by type of personal data. If you have visited one of our exhibitions, we will keep your data at least until unsubscription or for 2 years after the last contact with you. We keep your electronic contact data for sending direct mailing until you unsubscribe from these emails. Applicant data will be used by us for up to 4 weeks after the end of the application process or as much longer as we have received permission from you. After expiration of a retention period, your personal data will be anonymized or deleted.

Does OGZ use the services of third parties when processing data?

OGZ makes use of the services of other parties. This happens only after screening in the field of security and privacy and only after the third party has signed a so-called processing agreement regarding the use and protection of personal data. Activities involving third parties include: visitor registration, CRM system, email marketing, online marketing and hosting.

Does OGZ provide data to third parties?

In principle, OGZ does not provide or sell data to third parties. However, OGZ may be required by law or regulation to process your personal data and/or provide it to third parties. For example, when a competent authority such as the Police requests it in the context of a criminal investigation.

Does OGZ comply with the requirements of the law?

OGZ handles your personal data with extreme care and complies with the laws and regulations on the protection of personal data, such as the General Data Protection Regulation (AVG) and related laws and regulations.

How can you influence the processing of your personal data?

Anyone whose personal data is processed by us has the following rights:

- inspection of your personal data and a copy thereof;
- correction of your personal data if it is inaccurate;
- to have data erased or made anonymous because it is no longer accurate or, for example, because you have withdrawn your consent;
- request a restriction of processing (temporary lock on personal data) if you have a legal basis for doing so;
- have your data transferred; and
- object to certain uses.

If you wish to exercise any of your rights, please do so as follows. You can send your request by e-mail to privacy@ogz.nl To ensure that the request is made by you, OGZ will verify that it concerns the correct person.

You will receive a response within one month of receiving the request at the latest.

Does the privacy statement ever get changed?

Although the privacy statement will not be changed frequently, OGZ reserves the right to change this privacy statement at any time. Please check this website for the latest version.
